PRACTICAL GUIDE

Switching payment processors: a merchant's cutover checklist

Changing a payment provider affects more than the next card transaction. Staff still need to issue permitted refunds, find past transactions, reconcile deposits and close the day. A written cutover plan makes those dependencies visible before a merchant cancels an existing arrangement. Start with the actual business workflow and ask each provider to confirm what it will support in writing.

Compare one complete period

Gather aggregate card sales and processing fees from the same statement period. Use JerseyPayments' effective processing rate calculator as a broad starting point, then keep hardware, POS software, setup, unusual adjustments and contract costs visible separately. An advertised rate is not a complete implementation budget. A low-volume month may also look different from a high-volume month because recurring costs do not necessarily move with sales.

A fictional shop with $40,000 of card sales and $1,120 of included processing fees has an effective rate of 2.8% for those selected categories. This example does not predict an approved proposal or savings. Ask which categories are included in each comparison and what changes when average ticket size, payment channel or card mix differs.

Inventory the work before ordering devices

List every payment route the business uses: counter, mobile, invoice, telephone or online. For each route, identify the relevant device or application, staff role and reporting destination. Include tips, voids, refunds, settlement and any connection to accounting or ordering tools. Ask for a demonstration of the required workflow rather than treating an integration name as proof that every feature will work.

Confirm equipment ownership, leases, return obligations, cancellation dates, data-export access and support coverage with the relevant provider. Ask how historical refunds and disputes will be handled after the switch. Do not cancel the old service until authorized staff understand the remaining obligations and have a workable transition arrangement.

Define payment-data responsibilities

Ask the acquirer or payment brand what validation and reporting apply to the proposed setup. The PCI Security Standards Council's merchant resources explain the purpose of payment-data protection and direct merchants to their acquirer or payment brand for those requirements. A provider change does not justify copying card numbers, security codes or customer payment credentials into an ordinary form, spreadsheet or support email.

Record who configures devices, who approves access and how former staff access is removed. Check the provider's approved method for testing and training. Use only authorized test procedures and sample data. JerseyPayments' public enquiry form is for business questions, not for card data or unredacted sensitive statements; arrange an appropriate secure sharing route separately if a review requires documents.

Rehearse the first close and the fallback

Choose a controlled cutover window and identify who can pause the rollout. Through the provider's approved process, verify a sale, an eligible refund or void, receipt behavior and end-of-day reporting. Reconcile the first deposits against the agreed settlement explanation. Record who handles a failure, which support route is available and how staff continue operating within the providers' approved procedures.

If the switch includes changed customer pricing or a surcharge, obtain a separate review of applicable state requirements and network rules. New Jersey merchants can start with the Attorney General's surcharge FAQ; other states need their own current review. Enquiries from across the United States are handled through Process Rite's existing form. Availability, pricing, approval, funding and contract terms require written confirmation, and savings are not guaranteed.
