POS demo checklist for a shop, restaurant or service business

A POS demo should show how a sale moves from the customer to the bank and into your records. Start with your actual counter, mobile or appointment workflow. A polished terminal is useful only if the surrounding steps fit the way your business operates.

Bring a realistic transaction mix

Estimate your monthly card volume, typical sale amount and the share taken in person, online or by invoice. Separate the channels because the pricing and workflow may differ. Describe the number of locations, checkout points and staff who need access, along with the tools already used for accounting, stock or scheduling.

Use sample products and fictional customers in the demo. Keep card numbers, security codes, online-banking credentials and customer payment records out of JerseyPayments enquiries. A provider can specify the secure onboarding process if you decide to proceed.

Test the sale and the exceptions

Ask the vendor to demonstrate a normal sale, a partial refund, a discount and a receipt resend. If relevant, test tips, split payments, deposits or an exchange. For each example identify the staff permission needed and what appears in reporting. Ask what happens when connectivity is interrupted and what limitations or risks apply.

Square is one option businesses can evaluate for payment acceptance and POS workflows. Confirm the exact product, hardware, subscription and industry eligibility with Square. Do not assume that a feature demonstrated in one package is included in the plan proposed for your business.

Follow the money and the records

Ask how transactions, refunds, fees and payouts reconcile. Request a sample report using fictional data and identify the fields your accountant needs. Confirm whether an accounting integration transfers individual sales, summarized entries or another format, and how errors or duplicate entries are handled.

Check the proposed payout schedule, any conditions affecting availability, and the process for a disputed transaction. A sales demonstration cannot guarantee account approval, settlement timing or the absence of reserves. Obtain the actual account and pricing terms before treating an operational plan as settled.

Compare total cost and operating responsibility

List terminal purchases or leases, software subscriptions, transaction charges, accessories, support and any setup costs separately. Include the equipment you already own and ask whether it is supported. Compare candidates using the same monthly volume and transaction mix rather than selecting by one advertised rate.

Ask the acquiring bank or payment brand which PCI compliance validation requirements apply to your arrangement; the PCI Security Standards Council explains that these requirements are determined by those organizations. JerseyPayments can review your general payment workflow and requirements through its existing form. Start with business type, volume range and channels, not sensitive payment information.
